Baker’s Dozen of Common Payroll Mistakes

Everyone makes mistakes, but in payroll, there seems to be a lot of mistakes to be made. Below is a list of 13 of the most common salary mistakes I’ve seen, and I’ve compiled them into one list. I hope they are useful to you and can help you improve your payroll system for your company!

First, don’t back up your system. Since the person handling your payroll is most likely human, you can rest assured that she won’t be able to work every day. Next, Misclassification of employees. Making sure your employees are classified correctly is critical not only to keeping good tax records, but different types of employees are subject to different payouts and/or benefit packages. This same technology is also used to cheat you in some situations. Checking for fraud is a very real occurrence and you need to make sure your business is protected through watermarks or any other type of paper-based method of security. For this reason, more and more companies pay their employees via direct deposit, which completely bypasses the paper fraud method.

Mismanaging employee debts from wages can be crippling. It is imperative that you withhold any type of wage garnishment, tax levy, child support, or any other court-ordered salary levy. Be sure to confirm with the state that is ordering the payment that you are correctly deducting the employee allowance.

Lack or dissatisfaction with records and data capture is deadly for your business. Nearly 2% of all total wage costs are due to record keeping errors. The Internal Revenue Service requires you to keep at least four years of records, and some states require additional filing.

Don’t forget not to register taxable items correctly. Federal tax laws require you to consider awards and fringe benefit awards that are subject to income and employment withholding taxes. Gift cards are considered cash and should never be excluded from taxable wages.
